What we collect, why, and how long we keep it
Who we are
Glemara Early Years, Main Street, Glemara, G00 XX00, is the data controller for information submitted through this website. Data queries go to Aoife Brennan at hello@glemara-demo.ie or 056 000 0000.
What the enquiry forms collect
The waiting list form collects: your name, phone number and email address; your child's first name and date of birth; the room and type of place you are interested in; your preferred start month and the days you need; whether you are applying for the National Childcare Scheme; anything you choose to tell us about additional needs; and how you heard about us. The contact form collects your name, phone, email and message.
Information you give us about a child's additional needs or health is special category data. You do not have to provide it at enquiry stage, and it is used only to plan supports and have a conversation with you.
Lawful basis
- Consent — you tick a box before submitting either form, and you can withdraw that consent at any time by emailing us.
- Legitimate interests — managing our waiting list and replying to enquiries about places.
- Legal obligation — once a child is enrolled, we are required to keep a register of children and certain records under the Child Care Act 1991 (Early Years Services) Regulations 2016.
How long we keep it
- Waiting list applications: kept for the current and following programme year, then deleted, unless your child is offered and accepts a place.
- Contact form messages: kept for twelve months.
- Enrolled children's records: kept for the period required by the Regulations and our insurers, then securely destroyed.
Who sees it
Enquiries are seen by the manager and, where relevant, the room leader. We do not sell or share your details with third parties for marketing. Submissions are stored in a secure database hosted within the EU by our website provider, who processes it only on our instructions.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to withdraw consent. Email us and we will respond within one month. You also have the right to complain to the Data Protection Commission at dataprotection.ie.
Cookies
This website uses no advertising or tracking cookies and does not profile visitors. Only strictly necessary cookies required for the site to function are set. The map on the Home and Contact pages is embedded from OpenStreetMap, which may record your IP address when the map loads.
Photo and video consent policy
No child is photographed or filmed without written parental consent, given separately for each purpose: the child's own learning journal, display within the crèche, our website and our social media. Consent for one is not consent for all, and consent can be withdrawn at any time in writing — we act on it immediately and remove existing images where we can.
We never publish a child's full name alongside an image, and no child's face is used on social media without specific consent. You will notice that the photographs on this website deliberately show hands, materials and outdoor spaces rather than children's faces, or show children from behind. That is the same standard we apply to our own marketing.
Staff do not use personal phones to photograph children. Images are taken on a service device, stored securely, and deleted when they are no longer needed. Parents attending events are asked not to photograph other people's children.
